Privacy Policy

Short version: autoMailer runs entirely on your computer. We do not collect, store, or transmit any of your personal data, your students' data, or your email content to any server we operate. Ever.

1. Who we are

autoMailer is an open-source desktop application developed by Normand Marineau, a researcher and educator at Université Laval (Québec, Canada). The application's source code is publicly available at github.com/normand-marineau/autoMailer.

2. What autoMailer does

autoMailer is a bulk email tool for university professors and teaching assistants. It reads a CSV or Excel file (typically a class list), applies a message template, and sends personalized emails to each recipient using the user's own Gmail or Outlook account.

The application is a Windows desktop application. It does not have a server component. It does not communicate with any server operated by this project.

5. Google Gmail API usage

When you use autoMailer with Gmail, the app requests authorization via Google's OAuth 2.0 flow. The following Google API scope is requested:

autoMailer does not request and cannot access:

Emails are sent directly from your Gmail account to the recipients in your file. The content of those emails passes through Google's servers as part of normal Gmail delivery — this is governed by Google's Privacy Policy, not ours.

autoMailer's use of Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.

6. Microsoft Outlook usage

When you use autoMailer with Outlook, the app uses the locally installed Microsoft Outlook desktop application on your computer via the Windows COM interface (pywin32). No network requests are made by autoMailer itself — Outlook handles all delivery. Your Outlook credentials are managed entirely by Microsoft and your IT environment.

7. Third-party services

autoMailer does not integrate with any third-party analytics, advertising, or tracking service. The application does not make any network requests other than the Gmail API calls described above (and only when you explicitly trigger a send operation).

The application uses Google Fonts (DM Sans, DM Serif Display) for this website only. Google Fonts may log the IP address of visitors to this page, subject to Google's Privacy Policy.

8. Children's privacy

autoMailer is a tool for university educators. It is not directed at children under the age of 13 (or the applicable age of digital consent in your jurisdiction). We do not knowingly collect information from children.

9. Changes to this policy

If we make material changes to this privacy policy, we will update the "Last updated" date at the top of this page and post a notice in the GitHub repository. Continued use of the application after changes constitutes acceptance of the updated policy.

10. Your rights

Since we do not collect or store any personal data on our servers, there is no personal data to access, correct, or delete on our end. If you have concerns about data held by Google (related to Gmail API authorization), you can revoke the app's access at any time at myaccount.google.com/permissions.
